Section C: Exhibit Booth Details and Staff Registration

Exhibit Spaces Include:

  • Two (2) Exhibitor Representative Badges (includes full trade show access)
    **NOTE: All Ballroom Spaces = 8 feet-wide MAXIMUM**
    Ballroom booths: 6’ Skirted Tabletop set in 8’W x 6’D x 8’H pipe & drape booth
    Hallway spaces: 6’ Skirted Tabletop, with approx. 8’W back space behind table. Companies with large displays are suggested to reserve ballroom space.
  • Company Name Sign with Company Name in basic block letters
  • Two (2) Chairs, One (1) Electrical Outlet (120V)
  • Company listing and description in the Exhibitor Directory, printed in the Show Program
  • Show contractor, PRX, will set up tables, chairs, and company freight in each space
  • Basic Wi-Fi service has been custom ordered for the event and will be available throughout the hotel’s 2nd floor meeting spaces.
  • A wired Internet connection, and other audio/visual needs such as TV monitor, can be ordered through the Hotel’s A/V company, Encore Event Technologies:

Staff Badges

Staff badges can be registered online through the Exhibitor Portal. Your credentials are in your exhibit space confirmation email.

Important Reminders 

  1. Exhibitor Badge Pickup: Your exhibitor badges will be available at registration during set-up hours. Please ensure all booth staff have their badges before the show floor opens. 
  1. Noise and Professional Courtesy: With a packed schedule of showcases and presentations, please keep noise levels in check during show hours to maintain an enjoyable environment for everyone. 
  1. Show Floor Closure Policy: To preserve the professional atmosphere and attendee experience, early booth breakdowns are strictly prohibited. Exhibitors who violate this policy may lose early booking privileges and booth space allocation for the 2026 SOCMA Show. 

Section D: SHIPPING AND RECEIVING EXHIBIT MATERIALS

PRE-SHOW ADVANCE SHIPPING VIA PRX

  • PRX Exhibition Services is SOCMA’s official general service contractor and all exhibitor equipment/materials should be shipped in advance of the show through PRX.
  • PRX will send each exhibitor an email from prx@prexposition.com the show with your personal login credentials in order to access the ordering system with online.
  • If you do not receive an email by January 15, please contact Danielle Murneiks at dmurnieks@prexposition.com.

PRE-SHOW ADVANCE SHIPPING VIA HOTEL FEDEX

  • Exhibitors may ship small items via the on-site FedEx. The shipping instructions can be found here.
  • Packages may not arrive prior to February 15.
  • Companies not using PRX will need to retrieve packages from the FedEx office during operating hours. Return shipments should be taken to the FedEx office and have shipping labels affixed to packages/containers, contact your shipper to schedule a pick-up and take packages to the FedEx. Shipments left in your exhibit space will be considered unclaimed.
  • FedEx store hours can be found here.
  • SOCMA has arranged for additional hours at the on-site FedEx:
    • Tuesday, February 18: 5:30pm-8:00pm
    • Wednesday, February 19: 6:00am-7:30am

PRX FREIGHT SERVICES ADVANCE SHIPPING 

  • EARLIEST DATE for all exhibit materials to arrive = January 15, 2025
  • DEADLINE for all exhibit materials to arrive = February 13, 2025
  • Your exhibit space number can be found at: https://socma2025.expofp.com/
  • This service includes receiving materials at our warehouse, unloading from carrier, storage at warehouse, delivery from our warehouse to convention site, empty crate storage, delivery of crates after show to booth, and delivery from booth to designated carrier for outbound shipment.
  • All shipped materials must state event name, SOCMA, and Exhibitor Company, and Exhibit Space Number on each package and on bill of lading. SOCMA Show, Exhibitor Company, Space Number TForce Freight

Return Instructions (For PRX Shippers Only):

  • Exhibitors can leave any boxes by your booth, with a properly labeled shipping label affixed for your preferred carrier. PRX will collect materials and coordinate the return shipment to your office. It is helpful to have an actual shipping label and not a hand written one to ensure proper return delivery.

Section E: Additional Furniture Options

  • You will be emailed a link to an order form for additional exhibit furnishings in PRX Expo’s online store.
  • If you do not receive an email by January 23, please contact Danielle Murnieks at dmurnieks@prexposition.com.

Section F: Lead Retrieval

Lead Retrieval Services are available at the SOCMA Show via the attendee app and is included with your exhibit registration fee. Only designated exhibitors will have access to the lead retrieval services.

Setting up lead retrieval: Login to the exhibitor portal (link was provided in the confirmation email). If you did not receive, please reach out to Miranda Knoch at mknoch@socma.org.

1. Once logged in, you will be brought to the home screen. On the tab bar, select leads and then setup. 2. Setup Questions

On the lead management setup page, you can create custom questions for your connections to answer. Response options include multiple choice, comment box, rating, yes/no, true/false, number, and date.

There is no limit to the number of questions you can add.

3. Develop thank you email

The thank-you email can be set to automatically send to all scanned contacts whose information has been collected. This email may include an attachment, such as a brochure or other relevant information, that applies to all scanned contacts.

4. Lead alert email

The lead alert email is a message you’ll create to notify your team when a new lead has been scanned. It will include the contact information and responses to the questions filled out by your connections.
